You can let FlexMail mark the addresses in each bundle or container with a form of code which can be easily read by man or even automatically by a machine. These marks can be used to link the addresses to their bundle or container labels and mark the breaks between selections.
Defining and using break marks for your mailing takes the following steps:
You define break markers on the Break markers page of the Presort Wizard. On this page you specify to which addresses you want break markers to be added. If you are generating bundles and bags for your project you can specify the markers for both. As a result FlexMail will add the required columns containing the break marks to your Datasheet.
<None>. The marker will not be added to the Datasheet.
All addresses. FlexMail adds the defined marker to all addresses.
First address. FlexMail adds the marker to every first item of a bundle or container.
Last address. FlexMail adds the marker to every last item of a bundle or container.
First and last address. FlexMail adds the marker to every first and last item of a bundle or container.
The marks can be made up of any characters you choose (asterisks or the letter M are common choices) and a number of presort fields. To edit or review the definition of the actual marker:
Click the Define button for markers on the Break markers page of the Presort Wizard to activate the Define Break Marker window.
Specify the mark you want in the Definition edit box. You may include any (fixed) text and any of the fields from the Fields list.
If you include a field, you have to use the exact name of the field you want from the list box, including the square brackets ( [ and ] ). Double-clicking a field will add that element to the mark definition:
[PS_BndID]. The bundle number. This is a sequential number assigned by FlexMail to each bundle in the mailing.
[PS_CntID]. The number of the container. This is a sequential number assigned by FlexMail to each container (bag/tray) in the mailing.
[PS_SCC]. The standard selection code of the items in the bundle or bag.
Choose OK to return to the Presort Wizard.
After you have added the break markers in the desired format to the mailing list, you can use them in the following ways:
One obvious way to do this is to print the break markers with the addresses. You do so by adding the markers to the layout of your mail piece in the Designer.
If you do add an extra mark and the address is intended to be read by Royal Mail OCR machines, then you must not put the mark on the last line of the address. The machine would not be able to read it and you would lose the OCR discount. Put the mark above the address.
FlexMail enables you to set a print pause after printing the addresses of a group to form a break in the production. This will create a gap between the end of one group and the start of the next. For more information see Print Pauses.
